Key takeaways
- Canva Business allows one team per account, and each person you add uses one paid seat.
- Invites go from Settings, then People, and each invite link works for 30 days.
- Admins and brand designers can create the Brand Kit that everyone on the team uses.
- Canva says it does not use Business team content to improve its AI features, and the opt-in control is disabled for now.
By the end of this guide your team will share one Canva Business workspace with a Brand Kit, clear roles and a checked privacy setup. Canva is a design tool, so the goal is that anyone on staff can make an on-brand post, flyer or slide without asking for help.
Before you start
Pick one owner for the account, ideally the person who handles your brand or your software billing. That person will manage seats, roles and the Brand Kit. Have a work email for every teammate ready, because each person needs a Canva account with the same email address before you invite them.
Canva’s help center says a team requires Canva Business, and a free trial also works. Teams are not available on 1-day or 1-week plans. One Canva Business subscription gives you one team, and multiple teams need Enterprise.
| Plan | What it adds for a team | Price as listed |
|---|---|---|
| Free | Design for one person | US$0 per year |
| Pro | Premium tools for one person | US$144 per year for one person |
| Business | Team features, enhanced brand management and more AI access | US$250 per year per person |
| Enterprise | Multiple teams and organization controls | Contact sales |
Prices come from the Canva pricing page and exclude tax. Check the page for current numbers before you buy.
Create the team
- Open Canva, then upgrade to Canva Business or start a free trial.
- Confirm the account that bought the plan is the one you want as Owner.
- Open your team and begin adding people. The Create a team article says you can have up to 100 people in a team. Larger teams should contact Canva sales.
Canva keeps a Teams onboarding site with ready-made guides and templates, which the invite article links to.
Invite your team
Follow Canva’s invite steps.
- On the homepage, go to your account profile and select Settings.
- From the side menu, select People.
- Select Invite people, or Review and invite if Canva shows suggested collaborators.
- Enter the email addresses and choose each person’s role. You can paste a list of emails into the first field.
- Select Invite people to my team.
Each person gets an email link that works for 30 days and can be used one time. New people join as team members by default, and you can change a role later from the Team role dropdown on the People page. Each new member uses one paid seat.
Set the admin and data settings
Check these before the team starts designing.
- People page. Review roles and remove anyone who left. When you remove someone, Canva asks whether to transfer their designs or remove the member only.
- Team discovery. If the setting is Anyone at my domain can request to join, admins see join requests under the People page and can approve or decline them.
- Personal Brand Kits. Under Settings, then Permissions, then Brand, admins decide whether members can create a private kit.
- Brand Controls. Canva says you can set these up to limit members to the colors and fonts in your Brand Kits.
On AI and data, the Canva privacy page says the privacy control is disabled for Business and Enterprise accounts. It says Canva does not use business, team or enterprise content to improve its AI-powered features and does not allow third parties to do so. It also says admins may get a way to opt in later. Canva’s AI tools share a monthly allowance that varies by plan, and AI Pass is sold as an add-on.
Build the Brand Kit
Admins and brand designers can create Brand Kits. From the homepage side panel select Brand, open the Brand Kit dropdown and choose Create new Brand Kit. Name it, then upload logos, add color palettes and upload fonts. The Brand Kit article also describes setting a kit up automatically from your website or a PDF.
Connect your other apps
Canva’s Apps Marketplace lists apps for social and media work. The ones most useful to a small business include Instagram for previewing and publishing Carousels, Reels and Stories, Facebook for adding your photos, and YouTube for publishing Canva videos. Review what each app asks for before you connect it.
Tasks to try first
Load your Brand Kit
This helps when different people keep using the wrong logo or colors. Use this recipe once, as an admin.
1. Homepage side panel > Brand
2. Brand Kit dropdown > Create new Brand Kit
3. Name it with your business name > Create
4. Upload your logo files, add your brand colors, upload your fonts
5. Settings > Permissions > Brand: decide on personal Brand Kits
6. Optional: set up Brand Controls to limit colors and fonts
Invite your first three people with the right roles
This helps when you want a quick pilot before adding everyone. Start small and confirm each person can open the Brand Kit.
1. Profile > Settings > People > Invite people
2. Paste three work emails
3. Choose a role for each person
4. Select Invite people to my team
5. Ask each person to open Brand and confirm they see the kit
Make a social post from a template
This helps when your team posts to Instagram or Facebook. Use the Brand Kit so the post matches your look.
1. Create a design > choose Instagram Post
2. Pick a template, then apply your Brand Kit colors and fonts
3. Replace text and photos with your own
4. Use the Instagram app in Canva to preview or publish
Common problems
- A teammate cannot be invited. Canva says the person needs a Canva account using the same email address you invite.
- An invite link stopped working. Links last 30 days and work once, so send a new invitation.
- You cannot add more people. If the team is full, you need to buy more seats.

Frequently asked questions
Who can create a Canva Business team?
The Canva help center lists the Owner and Admin roles for creating a team. You need an active Canva Business subscription, and a trial counts.
How do I remove someone from our Canva team and keep their designs?
Go to Settings, then People, open the Team role dropdown next to the person and choose Remove from team. Pick Transfer designs and remove from team, which needs ownership transfer to be enabled.
Can team members make a private Brand Kit in Canva?
Only if an admin turns on personal Brand Kits in Settings, then Permissions, then Brand. A personal kit is private and not visible to admins or brand designers.
