HubSpot admin support

HubSpot admin support means someone owns the account every month: the new-hire login, the field somebody wants, the report due Friday, and the tidy-up nobody has time for.

In many small businesses the HubSpot “admin” is whoever got the login first. They answer every request between other jobs: add Priya, rename that stage, why can’t Sam see deals, can we get a list of last year’s quotes. Each one is small. Together they eat a day a week and get done in whatever order the loudest person asks. HubSpot admin support moves that work to someone whose job it is.

What a month of it looks like

Four monthly passes covering access and departures, lists and duplicates, reports, and updates to tools and apps, with requests handled any day
The passes are scheduled. The requests are not, which is why they share a lane of their own.

Monthly care covers access controls, backups and updates, and for HubSpot that turns into a short, repeatable routine.

Routine What it means in HubSpot
Access Compare the user list with who works for you now; remove anyone who left
Backups A dated export of the records that matter
Updates New features reviewed, and changes to connected apps checked
Hygiene Duplicates, empty owners and stale lists

How a request travels

You send a request the way you would to a colleague. Someone replies within 1 business hour on weekdays, 9am to 5pm Pacific, to say they have it and what they need.

A request moves from request in to triage to a change made by one named admin, then the asker is told, the change is logged, and it appears in the monthly review
Every change leaves a log entry, so the answer to "who changed that?" is a quick look, not an argument.

On a Tuesday

Priya starts, and the owner forwards her details in the morning. By lunch she has a login with the permissions of her role and nothing more. Hamid asks for a new “lead source” value because a trade show has just booked. It is added, and the report that groups by lead source still works. A salesperson who left in March is still on the user list, and the monthly pass catches it. No one had to remember any of it.

Why access gets the most attention

HubSpot says Super Admin permissions are needed to create new users and customize their permissions, and that Super Admin users can manage all users, tools and settings. That is a lot of power for one person, so we treat the list of who holds it as a document worth reviewing. Fewer Super Admins is nearly always better.

Exports follow the same logic. HubSpot says export permissions are required, so who can take a full copy of your customers is also a decision, not a default.

Signs you need ongoing admin help

  • Requests wait because the one person who can do them is on holiday.
  • Fields and lists get added and never removed.
  • Nobody can say who changed the lead-routing rule.
  • Former staff still appear in the user list.
  • You pay for features no one has looked at since the day you turned them on.

What counts as a request, and what is a project

Most asks are small and go straight into the month: a user, a property, a list, a tweak to a report. Some are bigger, such as a new pipeline, a billing connection or a clean-up of years of data. Those get their own plan and a fixed quote, so a large piece of work never hides inside a monthly routine. We would rather tell you “this is a project” on the first reply than let it quietly grow.

What we need from you

  1. A named approver in your company for access and for anything that touches customers.
  2. A way to ask, such as one shared mailbox, so requests aren’t lost in personal inboxes.
  3. Admin access to the account.
  4. A list of connected apps, so we know what a change might affect.

If the account is in poor shape first, a HubSpot consultant review is the right start, and care follows. If you are still deciding between HubSpot and a build of your own, see custom CRM for small business.

A CRM stays useful when someone is in charge of it every month, not only the month it breaks.

Common questions

Ongoing help with a HubSpot account.

How quickly do you answer a request?

A real person replies within 1 business hour, Monday to Friday, 9am to 5pm Pacific. That is the first reply, which confirms what you asked for and what happens next.

Do we need a Super Admin on our side as well?

We recommend keeping one named person in your company. HubSpot says Super Admin permissions are needed to create users and customize permissions, so someone on your side should always be able to approve access changes.

Can you pull a copy of our HubSpot records on a schedule?

We can run exports as part of the monthly work. HubSpot says export permissions are required, and that large exports can be split into several files, so we plan for that.
