Key takeaways
- Build the Zap so it creates a draft and never sends. A person reads and sends every reply.
- Use a Gmail trigger, an AI step, and a Gmail Create Draft Reply action.
- AI by Zapier is available on Professional, Team and Enterprise plans. The Free plan can preview it but cannot publish a Zap that uses it.
- Filter the trigger so the Zap only handles the emails you want, and test with a few real examples first.
You can set up Zapier to read each new email, ask an AI model to write a reply, and save that reply as a Gmail draft. A person then opens the draft, edits it and sends it. The Zap never sends anything on its own.
This guide uses Gmail because Zapier documents a draft-reply action for it. The same pattern works with other mail apps if they offer a draft action. Keep a human in the loop for every message, because AI can get facts, prices and promises wrong.
What the workflow does
The workflow has three steps. Zapier calls the first one the trigger and the others actions.
- Trigger: Gmail, New Email. Zapier describes it as firing when a new email appears in the mailbox you choose, with an optional label filter.
- AI step: AI by Zapier, or the ChatGPT or Claude app, writes the reply text.
- Action: Gmail, Create Draft Reply. Zapier describes it as creating a draft reply to an existing email, and it needs a thread ID and a body.
Because the last step creates a draft, the worst outcome of a bad AI answer is a draft you delete.
Check the plan and the cost
Zapier’s pricing page shows a Free plan that is limited to two-step Zaps. This workflow needs at least three steps, so you need a paid plan. Zapier’s help article says AI by Zapier is included on Professional, Team and Enterprise plans.
| Choice | What to know |
|---|---|
| Zapier Free | Two-step Zaps only. You can preview AI by Zapier but cannot publish a Zap with it |
| Zapier Professional or higher | Multi-step Zaps and AI by Zapier. Check the pricing page for current task tiers and prices |
| AI by Zapier | Built into Zapier. Standard, Advanced and Premium tiers use 1, 3 and 5 times the tasks per run |
| ChatGPT or Claude app | Separate account or key. Zapier lists actions such as Send Prompt for ChatGPT and Send Message for Claude |
Each run uses tasks from your plan, and higher AI tiers use more of them. Start with the Standard tier and move up only if the drafts are not good enough.
Build the Zap step by step
The setup below follows Zapier’s own wording where it is documented. Screens change, so confirm names in the editor.
- Create a new Zap and choose Gmail as the trigger app, with New Email as the trigger event.
- Connect the Gmail account. Use a label filter if the trigger offers one, so the Zap only sees the emails you want, such as a label named “AI draft”.
- Test the trigger so Zapier pulls in a real sample email.
- Click the plus icon to add an action step, search for AI by Zapier and select it.
- In the Prompt field, describe the task. Type a slash to insert the email subject, sender and body from the earlier step.
- Under Settings, open Output Fields and add a field for the reply text. Zapier lets you name the field and set its type.
- Use Preview to check the result, then click Finish.
- Add a final action step with Gmail and the Create Draft Reply event.
- Map the thread ID from the trigger and the AI reply text into the body field.
- Test the step and open Gmail to confirm a draft appeared in the right thread.
- Publish the Zap.
If you prefer ChatGPT or Claude, add that app’s action in step 4 and enter your own account details. Zapier’s ChatGPT page lists actions including Send Prompt and Write an Email. The Claude page lists Send Message.
Write a prompt that stays safe
The prompt controls how useful the draft is. Give the AI clear limits. A good prompt covers these points.
- Say who is writing, for example the office manager of a small company.
- Ask for a short, polite reply in plain language.
- Tell it not to invent prices, dates or promises. If the email asks for them, it should leave a note such as “[ADD PRICE]” for a person to fill in.
- Tell it to ask a clarifying question when the request is unclear.
- Ask it to match the tone of your business.
Zapier notes that the AI does not learn between runs and its state resets each time. That means every run needs the full instructions in the prompt.
Avoid common problems
A few habits keep the workflow tidy.
- Duplicate drafts: a label filter on the trigger helps the Zap run only on messages you choose. Zapier’s Gmail app also has an Add Label to Email action, which you can use as a last step to mark a message as handled.
- Wrong thread: the Create Draft Reply action needs a thread ID, so map that field from the trigger and not a typed value.
- Odd tone: add two short sample replies to the prompt and tell the AI to write in the same style.
- Costs creeping up: watch your task count on the Zapier dashboard, since each AI step uses tasks, and higher AI tiers use more.
Protect private information
Emails can contain customer names, health details, payment information and other private data. Zapier’s help article says Zapier-provided models use subprocessors and that content moderation is always on for them. Before you turn this on, decide which mailboxes are allowed.
- Use a label filter so only routine emails go through, such as general inquiries.
- Keep legal, billing dispute and personal emails out of the Zap.
- Read your AI use rules. Our guide to writing an AI use policy helps you decide what never goes in.
Test and review
Run the Zap on five to ten real emails before relying on it. Check each draft for wrong facts, missing details and tone. Adjust the prompt after each round. Once it is live, keep reviewing drafts and have a person send each one.

Frequently asked questions
Can Zapier draft email replies with AI without sending them?
Yes. Zapier's Gmail app has a Create Draft Reply action that saves a draft reply to an existing email. Pair it with an AI step and the reply waits in your drafts until a person sends it.
Do I need a paid Zapier plan to use AI in a Zap?
Zapier's help center says AI by Zapier is included on Professional, Team and Enterprise plans. On the Free plan you can preview the step but cannot publish a Zap that includes it.
Should I use ChatGPT or Claude inside my Zapier email workflow?
Either can work. Zapier lists a ChatGPT app with actions such as Send Prompt and a Claude app with a Send Message action. AI by Zapier is the simplest start because it needs no separate account.
