How to Set Up Pipedrive for Your Team

Set up Pipedrive for a small sales team: choose a plan, add users, set visibility and permissions, sync email, and try the AI Sales Assistant.

By Andy Kang · Published · Updated ·Checked against official sources

Key takeaways

  • Pipedrive plans are priced per seat. Email sync needs Growth or higher, and a shared team email account needs Premium or higher.
  • You add users from Manage users in the account menu. Adding a user can add a seat and raise your cost.
  • Visibility groups control what people can see, and permission sets control what they can do.
  • Pipedrive's AI Sales Assistant answers prompts about your own deals. Pipedrive's public pages do not say whether your data is used for AI training.

By the end of this guide your sales team will share one Pipedrive account with users added, visibility rules set, email synced and a few prompts ready for the AI Sales Assistant. Pipedrive is a sales pipeline tool, so the setup focuses on who sees what.

Before you start

Pick one account owner who will manage billing and users. Know how many salespeople you have, because Pipedrive prices per seat.

Plan What it adds for a team Price as listed
Lite Core pipeline, one default visibility group US$14 per seat per month billed annually
Growth Automations, email sync for 1 account per user US$39 per seat per month billed annually
Premium Team email accounts, shared team inbox, teams and custom visibility groups US$59 per seat per month billed annually
Ultimate Unlimited visibility groups, security rules and alerts US$79 per seat per month billed annually

Prices come from the Pipedrive pricing page, which also lists a free 14-day trial with no credit card required and says prices exclude VAT. The plan features come from the usage limits and security articles. Pricing is shown per seat, so check the monthly billing price on the page if you do not want a yearly commitment.

Create the account and workspace

Start from the pricing page with the 14-day trial. Pipedrive’s FAQ says you can invite as many people as you want to a trial by clicking your profile in the top right and selecting Add more users.

  1. Open the pricing page and click Try it free on the plan you want to test.
  2. Create the account with the owner’s work email.
  3. Decide on your plan before the trial ends, because usage limits depend on the plan.

Invite your team

Pipedrive’s add user article gives these steps. You need account settings access to invite users.

  1. Click the account menu in the upper-right corner and select Manage users.
  2. Click the + User button on the right side of the page.
  3. Enter the email addresses, separated by commas.
  4. Click Preview.
  5. Select the new users in the preview section to open the edit access panel, then set their permissions.

To cancel or resend a pending invitation, open the Invited tab and select the invitation. Pipedrive warns that adding a user can increase your subscription cost if it adds a seat.

Set the admin and data settings

Pipedrive splits access in two. According to the visibility and permissions overview, visibility groups control what users can see, and permission sets control what actions they can take. Admin permission sets have full access and cannot be edited, and Regular sets can be edited. Giving someone account settings access gives them administrator-level access, so give it to as few people as you can.

Plan limits apply. Lite and Growth have one default group with Item owner or All users options and no custom permission sets. Premium and Ultimate allow more groups. Check the overview article for your plan.

The security article lists two-factor authentication through email verification or an authenticator app, and single sign-on with providers such as Okta or Azure AD. It names a security dashboard for admins. Security rules such as enforcing 2FA for all users, and security alerts, are marked Ultimate only. The article does not mention AI or data training, and Pipedrive’s AI page does not say how your data is used. If that matters, ask Pipedrive, and see our AI use policy guide.

Connect your other apps

Email is the first connection most teams need. Pipedrive’s email sync article says sync requires Growth or higher and team accounts require Premium or higher.

  1. Click your account menu in the top right and go to Personal preferences, then Email sync.
  2. Enter the email address you want to sync and click Get started.
  3. Select your email provider. If you choose Other, you need your IMAP and SMTP port details.
  4. Log in and grant Pipedrive access to your inbox.
  5. Choose whether to set it up as a personal or team account.
  6. Review the settings, such as email visibility, past sync start time and synced folders, then click Start sync.

The pricing page also says Pipedrive has 500+ integrations. Browse them from the app marketplace and follow each app’s own prompts.

Tasks to try first

Review your pipeline each week

Use this for a Monday meeting. Open the AI Sales Assistant and ask:

Summarize my open deals by stage. List deals with no activity scheduled and deals that have not changed in two weeks.

Find out why deals are lost

Use this once you have a few lost deals logged.

What are the most common reasons for lost deals? Compare this quarter with last quarter and list three things to check.

Set a team rule for deal hygiene

Use this so the data stays useful. Agree it and put it in your team notes:

Rule 1: Every open deal has a next activity with a date.
Rule 2: Every lost deal has a loss reason selected.
Rule 3: Contacts are added with an email and a company before the first call.

Common problems

If a salesperson cannot see a deal, check their visibility group and the item’s Visible to setting. Pipedrive says item owners can always view and edit their own items, and that hidden pipelines stay hidden from restricted users.

Rather hand it over?

Frequently asked questions

Pipedrive's help center says visibility groups control which data users can see and permission sets control which actions they can take. Lite and Growth have one default group and no custom permission sets.

Pipedrive says email sync needs a Growth plan or higher, and team email accounts need Premium or higher. During sync setup you choose whether the account is personal or team, then set who can see the emails.
