How to Set Up QuillBot for Your Team

Set up the QuillBot Team Plan: buy seats, invite writers from the Team Dashboard, learn the owner, admin and writer roles, and try three writing tasks.

By Andy Kang · Published · Updated ·Checked against official sources

Key takeaways

  • The QuillBot Team Plan gives each writer Premium access, with writer-management dashboards and centralized billing.
  • Seat prices start at $7.50 per seat per month for 2 to 10 seats, billed every 12 months.
  • Owners and admins invite writers from the Team Dashboard, under Your Plan in Account Details.
  • QuillBot's Trust Center lists privacy and security standards but does not state an AI training policy.

By the end of this guide your team will be on one QuillBot Team Plan with a named owner, invited writers and shared habits for using it. QuillBot is mainly a rewriting, grammar and summarizing tool, so most of the setup is about seats and roles.

Before you start

Choose the owner first. QuillBot’s help center says each Team Plan has only one owner, who manages payment methods, billing history, invoices and cancellation. Count how many people will use it, because price depends on seat range.

Plan What it adds for a team Price as listed
Free Limited paraphrasing, grammar and summarizing $0 per month
Premium (individual) Full paraphrasing, 25,000 words per month plagiarism checks, AI detector, summarizer up to 6,000 words $8.33 per month billed annually
Team Plan, 2 to 10 seats All Premium features, writer-management dashboards, centralized billing $7.50 per seat per month, $89.95 billed every 12 months
Team Plan, 11 to 50 seats Same as above $6.66 per seat per month, $79.95 billed every 12 months

Prices come from the Team Plan page and the Premium page. A Team Plan needs at least 2 seats, according to the help center.

Buy the Team Plan

The help center’s purchase article gives these steps. Make sure you are signed in first.

  1. Go to the For Teams option and click For Teams at the bottom of the page.
  2. Choose the number of seats and click Save now on a team plan.
  3. Fill in the required information and click Review & Pay.
  4. Pay with a credit or debit card or PayPal.

If you already have an individual Premium subscription, QuillBot cancels it automatically and refunds the unused part of the billing period. Premium bought through a Team Plan cannot be paused.

Invite your team

Owners and admins can invite writers from the Team Dashboard, as described in the invite article.

  1. Click your profile icon in the top-right corner of the QuillBot website.
  2. Select Account Details.
  3. Open Your Plan, then the Team Dashboard section.
  4. Click the Writers tab.
  5. Enter the email addresses, individually or in bulk.
  6. Click Send invite.

Writers get an email. Once they accept, Premium access turns on automatically. According to the roles article, there are three roles. Writers get full Premium features. Admins also manage writers and can use the Admin Analytics Dashboard to see team usage. The owner handles billing and cancellation. The help center says owners and admins can add and remove writers and change their roles in the Team Dashboard.

Set the admin and data settings

QuillBot’s Team Plan gives you few settings beyond roles and billing. Give the admin role to one reliable person besides the owner so the plan does not depend on a single account.

On data, the QuillBot Trust Center says access to customer data is restricted within the company and its service providers. It lists GDPR, the Data Privacy Framework, the California Consumer Privacy Act, PCI DSS and CASA Tier 2. It has FAQs titled “How does Quillbot use my data?” and “Does Quillbot sell my content?” but the text we could read does not answer them. Read those answers yourself before staff paste client text, and write the rules into an AI use policy.

Connect your other apps

The Premium page lists a Chrome extension, a Microsoft Edge extension, a macOS app, a Word add-in, and Android and iOS keyboards and apps. The footer also lists Safari and Windows. QuillBot’s help pages do not give team-wide install steps, so ask each writer to install the one they use most.

Tasks to try first

QuillBot is a set of tools, not a chat prompt box, so these are settings and routines.

Standardize your email tone

Use this when staff write in very different styles. The Premium page lists 9 modes and says you can create unlimited Custom modes. Agree on one setup together:

Paraphraser mode: Fluency for everyday email, Standard for formal replies
Custom mode: create one describing your house style (plain words, short sentences, polite)
Rule: read the result against the original before sending

Summarize a long document

Use this for a supplier contract summary or a long report. The Premium page lists summaries of up to 6,000 words. Paste the text, create a summary and then compare it with the source.

Routine: paste the text into the Summarizer, generate the summary, then check three facts (names, dates, amounts) against the original before sharing.

Check a draft before publishing

Use this before posting a blog article or proposal.

Routine: 1) run Grammar Checker 2) run Plagiarism Checker on web copy 3) run the AI Detector only if a client asks, and treat it as a hint, not proof

Common problems

If invitations do not seem to work, confirm that you are an owner or admin and that the writer accepted the email invite, because access activates only after acceptance. If a writer needs to leave, owners and admins can remove them in the Team Dashboard.
