How to Set Up Zoho CRM for Your Team

Set up Zoho CRM and Zia for a small team: pick an edition, create roles and profiles, add users, check AI data statements, and try three tasks.

By Andy Kang · Published · Updated ·Checked against official sources

Key takeaways

  • Zoho CRM has a free edition for 3 users. Paid editions are priced per user per month.
  • Create roles and profiles first, because you assign both when you add each user.
  • Add users from Setup, then General, then Users. Imported users must be re-invited by hand.
  • Zoho's pricing page lists extended Zia AI under Enterprise, and AI agents with predictive intelligence under Professional.
  • Zoho says customer data is not sold or used to train global models.

By the end of this guide your team will have a Zoho CRM account with roles, profiles and users in place, and a clear idea of where the Zia AI features sit. Zoho’s setup order matters, so this guide follows it.

Before you start

Pick the administrator. Zoho’s help center says there must be at least one administrator who can access all the data and features, so choose the owner or a senior manager. Make a list of staff with their job titles, because you will turn that into roles and profiles.

Edition What it adds for a team Price as listed
Free Forever free for 3 users. Limits include 10 custom email templates and 10 data exports US$0
Standard For small teams getting started US$14 per user per month
Professional Automation, AI agents, predictive intelligence for lead conversion and deals US$23 per user per month
Enterprise Extended AI capabilities from Zia, multi-team needs US$40 per user per month

The prices above are as displayed on the Zoho CRM pricing page, which has Monthly and Annually toggles, so confirm which one is selected for the figure you see. Local taxes may apply. The AI notes come from the same page and from the earlier pricing page, which names Zia under Enterprise.

Create the account and organization

Zoho’s getting started page outlines the areas to cover. It links to separate guides for managing users and profiles, data administration and connecting with customers. Zoho’s help pages do not give sign-up clicks, so follow the prompts at zoho.com.

  1. Open the pricing page and choose Free or start a trial of a paid edition.
  2. Sign up with the administrator’s work email.
  3. Confirm the account. Zoho says the super admin should confirm the account first, or invitation emails will not be sent.

Invite your team

Zoho’s Adding Users article explains that every user has a role and a profile. The profile decides what features they can use. The role decides what data they can see. Create the roles and profiles you need first. Profile types include Administrators and Standard Users.

  1. Log in as an administrator, or as someone with the User Management permission in their profile.
  2. Go to Setup, then General, then Users.
  3. Click + New User.
  4. Enter First Name, Last Name, Email, Role and Profile.
  5. Click Save. Zoho sends an invitation email.

The email address must not already be used to create a Zoho CRM account. The user must click the Access link within 7 days. In the Free Edition you can add up to 3 users. In other editions the limit follows the licenses you bought. To add many people, import an .xls, .xlsx or .csv file of up to 1,000 users, then click re-invite for each.

Set the admin and data settings

Review roles and profiles before staff start. Give most people the Standard Users type and keep Administrator for one or two people. Match roles to your structure, for example owner, manager and sales rep, so reps see their own records and managers see their team’s.

On AI data, Zoho’s AI for sales page says customer data stays within Zoho’s ecosystem and is not sold or used to train global models. It says users can choose which data to include in predictions, and that sensitive and personal data and encrypted fields are excluded from model training by default. That page describes Zoho CRM Plus, so ask Zoho how the same terms apply to your edition. See our guide on writing an AI use policy for staff rules.

Connect your other apps

Zoho’s getting started page mentions Google and Microsoft integrations and data administration for import, export and duplicate management, but it does not give steps. Open the linked guides from that page for each one. Do a small import test of a handful of contacts before you bring in your whole list.

Tasks to try first

Plan your roles and profiles

Use this before you add anyone. Fill it out on paper first.

Role list: Owner > Sales manager > Sales rep
Profile list: Administrator (owner only), Standard (everyone else)
Rule: reps see their own records, managers see their team's records.

Ask Zia for today’s follow-ups

Use this when your edition includes Zia. Zoho describes Ask Zia as answering natural-language requests such as listing leads or creating follow-up tasks.

Show me leads I have not contacted in the last 7 days.
Create a follow-up task for each one due tomorrow.

Write a standard first email

Use this with an AI writing tool to save as a template. The free edition allows 10 custom email templates.

Write a short first email to a new lead who asked for a quote on [service]. Thank them, confirm what we received, ask one question and offer two times for a call. Keep it under 100 words.

Common problems

If an invitation never arrives, Zoho says to check whether the account was confirmed before the invite was sent, and to re-invite if it was not. Imported users never receive an automatic email, so click the re-invite button for them.

Rather hand it over?

Frequently asked questions

What is the difference between a role and a profile in Zoho CRM?

Zoho's help center says the profile decides which features a user can access and the role decides which data they can access based on your organization's hierarchy. Create both before you add users.

How long does a new Zoho CRM user have to accept the invitation?

Zoho's help center says users must click the Access link in the invitation email within 7 days. If a user was invited before the super admin confirmed the account, the email is not sent and you must re-invite them.

Can I add many users to Zoho CRM from a spreadsheet?

Yes. Zoho supports .xls, .xlsx and .csv imports of up to 1,000 users at a time. Imported users do not get an invitation automatically, so you click the re-invite button for each.
