Key takeaways
- Freshdesk's admin guide starts small: change the default support email, add agents, then review roles and scope.
- Add people at Admin, Agents, New Agent. Choose Full time or Occasional, a role, a scope and a group.
- Occasional agents do not need a license. They use a day pass when they log in to the portal.
- Freshworks says you can ask support to exclude your account data from AI training.
By the end of this walkthrough your team will have Freshdesk running with a support email, agents, roles and groups. Freshdesk gathers customer emails and chats into tickets that your team works together. This guide follows the small-team path in Freshdesk’s own admin guide.
Before you start
Choose one admin and write down who will answer customers. Decide the address customers write to, such as help@yourcompany.com. List the groups you need, for example Billing and Bookings.
Freshdesk’s pricing page lists annual prices per agent.
| Plan | What it adds for a team | Price as listed |
|---|---|---|
| Growth | Ticketing, shared inbox, customer portal, roles and permissions | $19 per agent a month billed annually |
| Pro | Adds intelligent routing, multiple SLA policies, external collaborators | $55 per agent a month billed annually |
| Enterprise | Adds skill-based routing, sandbox, audit logs | $89 per agent a month billed annually |
The page lists a 14-day trial with access to the Enterprise plan. It lists 500 free Freddy AI Agent sessions on all plans, then $49 per 100. The Freddy AI Copilot add-on is listed at $29 per agent a month on Pro and Enterprise.
Create the account and workspace
Freshdesk’s admin guide says Freshdesk creates a default support email when you sign up and recommends changing it. It does not list menu paths, so use Admin search.
- Sign up for the trial with the admin’s work email.
- Change the default support email to the address you want customers to use.
- Review Roles and Scope before you add your support team.
- Read the ticket list and ticket details help articles before agents start.
Invite your team
These steps come from Freshdesk’s agent article.
- Log in as an admin and go to Admin > Agents.
- Click New Agent.
- In Agent type, choose Support agent, then Full time or Occasional.
- Enter the agent’s email address. It is required.
- Under Roles, assign a default or custom role.
- Under Scope, choose All tickets, Tickets in a group or Assigned tickets.
- Under Groups, add the agent to one or more groups.
- Click Create agent.
The agent gets an activation email and sets their own password. Admins cannot set a static password. To add seats, go to Admin > Account > Plans and Billing. Freshdesk’s admin guide says custom roles need Pro or above.
Set the admin and data settings
Occasional agents suit people who log in only a few times a month. Freshdesk says they need no license and use a day pass when they log in to the portal. Every plan includes 3 free day passes, and replying to a ticket by email does not use one.
On data, Freshworks’ Freddy AI page says data is processed and stored in local data centers by default. For India, Australia and Middle East and Africa customers, some features are processed in the US. It says features that process data outside your region are off by default. To opt out of AI training, email Freshworks support and ask them to exclude your account data.
Connect your other apps
The admin guide lists three places to connect more. Set up web chat, Facebook or WhatsApp channels if you use them. Explore integrations in the Freshdesk Marketplace. Use webhooks in automation rules on Growth and above. The guide does not give steps for these, so follow the linked help articles in Freshdesk for each channel.
Freshdesk also lists a customer portal. The admin guide suggests customizing it to match your brand once your basics are working.
Tasks to try first
Create your first support group
Use this when different people handle different kinds of questions.
Group name: Billing
Agents: the person who sends invoices
Scope for those agents: Tickets in a group
Create the agent with: Admin > Agents > New Agent
Save a reply for common questions
Use this when agents keep retyping the same answer. The admin guide lists Canned Responses under agent productivity.
Canned response name: Booking received
Text:
Hi [customer first name],
Thanks for contacting us. We have your request and will confirm a time within one business day.
Thanks,
[agent name]
Review the default automation rules
Use this before you go live so nothing surprising fires.
Open the Overview of Automation Rules in Freshdesk's help center.
Read the three rule types.
Write down one rule you want, for example: tickets that mention "invoice" go to the Billing group.
Turn off any default rule you do not want.
Common problems
If a new agent says the activation email never arrived, Freshdesk’s agent article says they can use Forgot Password on the login page to resend it. The same article says repeated failed logins temporarily block the account for 2 hours. Admins cannot set a static password for an agent, and the article says bulk editing of agents is not supported. Edit each agent from Admin > Agents with the pencil icon.
Rather hand it over?
